You Look After The Business, We Look After The Books

To get started - what we need:

1. If we're coming to you:

  • Get an in-tray ready
  • Put 'everything to do with bookkeeping' into the in-tray
  • e.g. bank statements, credit card statements
  • Access to cheque book stubbs and paying in book slips
  • Folders - with your suppliers bills (paid, unpaid)
  • Folders - with your invoices sent
  • Cash receipts
  • Have passwords to sites e.g. hmrc etc., to hand (just in case) 
  • Have a computer free
  • Make sure any electronic files e.g. if you have a computerised accounts system - that its accessible and available for us to use


2. If you are dropping off / sending in your stuff to us:

  • Get 'everything to do with bookkeeping' ready
  • e.g. bank statements, credit card statements [either originals or photocopies or online print outs]
  • Photocopies are handy, because then you can write on them... especially if you've written cheques... when cashed, write on the statement what the cheque was for
  • Folders - with your suppliers bills (paid, unpaid)
  • Folders - with your invoices sent
  • Cash receipts
  • Have passwords to sites e.g. hmrc etc., to hand (just in case) 
  • The back up on usb - email it to us, or if you use an online system - we need the user name and password
  • You can always scan and upload documents to us using dropbox... get a dropbox for free here


Specifically:

3. PAYROLL - we'll sign you up, and we'll give you a few forms to complete (basically employee information - names, addresses, National insurance number, payroll run dates)


4. VAT - we need your records to date, so that we can carry it forward and update it. Bank statements are essential for the period being covered in question. If you just want to register for VAT (£40), there's a few questions we'll have - ie Business name, turnover in the last 12 months, address of the business, line of business...


5. FORMING A LIMITED COMPANY - it costs £40, and we have a list of questions for you to answer - namely we need to know Company Name, Name and date of birth of Directors, Company address, type of company it'll be.


6. SORTING OUT A BACKLOG - we need all your paperwork for the backlog period. The bank statements at a minimum. Your back up (if you have one) on a USB.



7. TRAINING - send us a list of everything that you want us to cover, so that we can make sure we cover it.



8. YEAR END ACCOUNTS - your back up (usb) by email. We expect you accounts to be reconciled up to or beyond the year end date. If they're not, then we'll do it, but we'll need all your bank statements for the the periods where the bank wasn't reconciled. The previous years accounts / figures that were filed (a print out). Your user name and password for 1. HMRC and 2. Companies House.


9. FILING ANYTHING (VAT, PAYROLL, YEAR END, COMPANY ANNUAL RETURN) - your user name and password.
